How to download all the Contacts in an Everbridge Organization into a spreadsheet.

Description

Download all of the contacts for an organization by following the steps below:

NOTE:
If the contact file is too large, Everbridge will send the user an email once the download is complete. Follow the instructions in the email to retrieve the file.
  1. Log in to the Manager Portal and select the desired organization from the upper right-hand corner.
  2. Hover over the Contacts/Assets tab from the top of the page.
  3. Under Contacts select Contact List.
  4. Click the Download button.

This will download the contacts from Everbridge Suite into a spreadsheet (CSV format similar to the standard upload template). The exported file includes available contact data such as names, email addresses, phone numbers (landline and mobile), group membership, delivery methods, phone country, and other fields from the full contact record.

NOTE:
Permissions: An Organization Administrator account can download the full contact list. If you do not see the Download button or cannot export, confirm your account role and, if needed, ask an Organization Administrator to perform the export or adjust your permissions.
Scope: Clicking Download with no contacts selected will export all contacts in the organization. To export only a subgroup (for example, a particular record type or filtered list), first use Advanced Search to apply your filters, run the search, and then download the resulting list.
Multiple environments: If you have multiple accounts/environments, repeat this download process in each environment where you need a contact export.
Reviewing administrative contacts: After you download the CSV, open it in your spreadsheet tool and review the appropriate column(s) to see who is listed as an administrative contact. If your internal administrative contact has changed, update that contact in Everbridge using the standard contact search and edit steps.
International phone numbers: To review or report on international phone numbers, use the exported file’s Phone Country column and sort or filter by the desired country or countries.

Importing the Contact List into Excel

To ensure the downloaded contact list displays correctly in Excel, follow these steps:

  1. Open Excel.
  2. Go to the Data tab.
  3. Click on Import or Get Data.
  4. Choose From File.
  5. Select Text/CSV.
  6. If prompted, confirm the appropriate delimiter (typically comma for .csv or tab for .txt) so that the columns parse correctly.
  7. Click Load to properly format the contact list in the spreadsheet, then optionally use Save As to save the file as an .xlsx workbook.
