AI Message Enhancement | Communications | Everbridge 360™ (EB360)
Description
The AI Message Enhancement feature in Everbridge 360™ Communications helps to improve the quality, clarity, and effectiveness of messages before sending them to recipients. During a critical event, time is limited and the ability to quickly compose a clear, appropriately toned message can directly impact response outcomes.
AI Message Enhancement provides three tools accessible directly from the message composition interface:
- Tone – Adjust the urgency and style of the message to match the situation.
- Proofread – Correct grammar, punctuation, and improve clarity.
- Length – Make your message shorter or longer to suit different delivery channels
| Important: AI-generated content must always be reviewed before sending. Responsibility remains with the sender for the accuracy and appropriateness of all communications sent through Everbridge 360™. |
Accessing AI Message Enhancement
The AI Message Enhancement menu is available in the message composition area of the Communications launch form, template builder, and update message interface. The feature is available when text is present in the message body.
To open the AI Enhancement menu:
- Navigate to the Configure the Message step when creating or updating a communication.
- Enter or paste text into the Default Message (or custom message) body field.
- Click the AI Enhancement button (pencil icon) located in the lower-right corner of the message composition area.
- The menu expands to display three options: Length, Proofread, and Tone.
AI Enhancement: Adjust Message Length
The Length enhancement allows increasing or decreasing the verbosity of a message. This is especially useful when optimizing for SMS character limits, matching email detail requirements, or quickly condensing a message during a fast-moving incident.
Length Options
| Option | Change | Best Used For | Effect |
|---|---|---|---|
| Shortest | − ~40% | SMS delivery, urgent alerts, maximum brevity. | Ultra-concise; essential information only. |
| Shorter | − ~20% | Multi-channel delivery, balanced brevity. | Condensed while retaining key details. |
| Longer | + ~20% | Email delivery, adding context or detail. | Expanded with additional relevant information. |
| Longest | + ~40% | Comprehensive explanations, detailed guidance. | Fully detailed with supporting context. |
How to Adjust Message Length
- Click the AI Enhancement button in the lower-right corner of the message body.
- Select Length from the menu.
- A vertical slider appears with four positions. Drag or click the desired level (Shortest, Shorter, Longer, or Longest).
- Click the arrow button to apply. A processing indicator displays while the enhancement runs.
- The AI Enhancement Preview dialog opens, displaying the enhanced message.
- Review the result and choose one of the following:
- Accept – Inserts the enhanced message into the message body.
- Retry – Regenerates the enhancement.
- Cancel – Dismisses the preview and returns to the original message.
- After accepting, an Undo button appears in the lower-right corner. Click Undo to restore the original message.
| Note: Dynamic variables (e.g., {First_Name}, {Location}) are preserved in their original format and placement through all length adjustments. The most critical information is always retained, even at the Shortest setting. |
AI Enhancement: Proofread Message
The Proofread enhancement reviews the message for grammar, punctuation, spelling, and clarity. Use this enhancement to ensure the communication is professional and easy to understand before it reaches recipients.
How to Proofread a Message
- Click the AI Enhancement button in the lower-right corner of the message body.
- Select Proofread from the menu.
- A processing indicator displays while the AI analyzes the message.
- The AI Enhancement Preview dialog opens with the corrected message.
- Review the result and select Accept, Retry, or Cancel.
- After accepting, click Undo to restore the original text.
| Note: The Proofread enhancement improves presentation and readability while preserving the intended meaning and all dynamic variables in their original format. |
AI Enhancement: Change Message Tone
The Tone enhancement adjusts the urgency, style, and emotional context of the message to match the situation. Selecting the correct tone ensures that recipients interpret the communication's severity appropriately – whether the message demands immediate action or is intended to reassure.
Tone Options
| Tone | Best Used For | Effect |
|---|---|---|
| Urgent | Life-safety situations, imminent threats, evacuation orders | Creates a sense of immediacy and critical importance |
| Directive | Step-by-step guidance, mandatory procedures, compliance requirements | Provides clear, unambiguous direction |
| Informational | Updates, status reports, general notifications | Factual and neutral; conveys awareness without prompting immediate action |
| Reassuring | Incident resolution, safety confirmations, post-event updates | Reduces anxiety and provides comfort and confidence |
How to Change Message Tone
- Click the AI Enhancement button in the lower-right corner of the message body.
- Select Tone from the menu.
- A vertical slider with four tone options appears (Urgent, Directive, Informational, Reassuring).
- Click or drag to the desired tone, then click the arrow button to apply.
- A processing indicator displays while the AI processes the enhancement.
- The AI Enhancement Preview dialog opens with the tone-adjusted message.
- Review the result and select Accept, Retry, or Cancel.
- After accepting, click Undo to restore the original message if needed.
| Note: Variables within the message (e.g., {Date_Time}) are not altered during tone adjustments. The original message structure is preserved wherever possible. |
Universal AI Enhancement Behaviors
The following behaviors apply to all three AI enhancement types.
- Undo
After any successful enhancement is accepted, an Undo button appears in the lower-right corner of the message composition area. Clicking Undo restores the message to its original, pre-enhancement state. Undo is available until a manual edit is made or another enhancement is applied. - Manual Editing After Enhancement
An enhanced message can be edited after it is accepted. AI enhancements are suggestions, not restrictions. All standard editing capabilities remain available, and additional enhancements can be applied at any time. - Dynamic Variable Protection
All dynamic variables—such as{First_Name},{Location}, and{Date}—are preserved in their exact format and placement through every type of enhancement. The AI does not interpret or modify variable syntax. - Asynchronous Processing
Enhancements process in the background. A processing indicator is displayed during this time. The interface remains responsive while the enhancement runs. - AI-Generated Content Disclaimer
Every AI Enhancement success notification includes the message: “Generated by AI. Please confirm accuracy before use.” This reminder ensures AI-suggested content is reviewed before it is sent to recipients. Responsibility for the final message content remains with the sender.
Best Practices
- Draft the message first, then use AI enhancements to refine it.
- Apply Tone first to set the appropriate urgency level, then use Proofread to clean up grammar and phrasing.
- Use Length last to optimize for the delivery channel (e.g., shorten for SMS, lengthen for email).
- Always review the AI Enhancement Preview before accepting any change.
- Use Retry if the first enhancement result does not meet the needs – the AI will generate an alternative.
- Compare the original and enhanced versions before accepting to ensure no unintended meaning changes occurred.
