EB360: How to Create a Custom Report to Display Contact Email Addresses in Incident and Polling Reports

Problem

Contact email addresses cannot be selected as a direct data field option in the standard report builder, even though email information is collected during contact uploads. This prevents users from easily displaying email addresses in their incident or polling reports.

Root Cause

Email addresses are stored as delivery method values rather than as standalone contact attribute fields in the reporting system's index and data structure. This system design separates delivery method information from traditional contact attributes, making email addresses unavailable through the standard data field selection process.

Solution

You can display contact email addresses by using the delivery method fields available in the report builder. Follow these steps:

  1. Open your incident or polling report in the report builder

  2. Add the "Delivery Method" data field to your report

  3. Add the "Delivery Method Value" data field to your report

  4. Generate your report

This approach will display all of the contact's delivery methods and their associated values, including email addresses alongside any other communication channels such as phone numbers or SMS numbers.

Important Limitations

  • Multiple rows per contact: If a contact was contacted through multiple delivery methods, that contact will appear as multiple rows in the report—one row for each delivery method used. For example, if someone was contacted via both email and SMS, you'll see two separate entries for that contact in your report data.

  • Response data alignment: Recipient responses will be aligned with the specific delivery method through which they responded, rather than consolidated by contact. This means response data won't be aggregated at the contact level.

Workaround

If you only need email address data and want to filter out other delivery methods, you can manually prepare your report data:

  1. Generate your report with the Delivery Method and Delivery Method Value fields

  2. Download the report as a CSV file

  3. Open the CSV file in your spreadsheet application

  4. Apply a filter to the "Delivery Method" column to show only email entries

  5. Remove or hide rows for other delivery methods as needed
