How can group managers send notifications to all contacts in an Everbridge Suite organization?

Answer:

Group managers can send notifications to all contacts if they use a dynamic group and a rule that references that dynamic group.

Creating a dynamic group and assigning it to group managers allows access to all contacts, then creating a rule provides the ability to send a notification to all contacts. Dynamic groups can only be created by an account administrator and an organization administrator.

Follow the sections below to create a dynamic group and to create a rule containing all of an organization's contacts.

Create a Dynamic Group as an Account Administrator

To create an all contacts dynamic group as an account administrator, follow the steps listed below:

  1. Log in to the Manager Portal as an account administrator.
  2. Click on the Roles tab from the top of the page.
  3. Select the radio button next to "View roles for Organization" and select the desired organization from the dropdown list.
  4. Select the desired group manager role that will access the dynamic group the left-hand side of the page.
  5. Click the Manage link next to Dynamic Group.
  6. Click Add.
  7. Enter "All Contacts" as the Name for the dynamic group in the text field and assign a color.
  8. In the Custom Filters pane next to Add Filter Search, select the field "Created On" in the dropdown menu.
  9. Select the Condition "is equal to or after" in the dropdown menu.
  10. Click the calendar icon to select a date for when the organization was created or earlier.
  11. Click Save.
  12. Click OK.
  13. Select the checkbox next to the "All Contacts" dynamic group under the Dynamic Group box and click Save.

Create a Dynamic Group as an Organization Administrator

To create an all contacts dynamic group as an organization administrator, follow the steps listed below:

  1. Log in to the Manager Portal and select the desired organization from the upper left-hand corner.
  2. Click the Access tab from the top of the page.
  3. Click the Roles sub-tab.
  4. Select the desired group manager role that will access the dynamic group the left-hand side of the page.
  5. Click the Manage link next to Dynamic Group.
  6. Choose Add.
  7. Enter "All Contacts" as the Name for the dynamic group in the text field and assign a color.
  8. In the Custom Filters pane next to Add Filter Search, select the field "Created On" in the dropdown menu.
  9. Select the Condition "is equal to or after" in the dropdown menu.
  10. Click on the calendar icon to select a date for when the organization was created or earlier.
  11. Click Save.
  12. Click OK.
  13. Select the checkbox next to the "All Contacts" dynamic group under the Dynamic Group box and click Save.

Create a Rule to Utilize the Dynamic Group

Creating a rule containing all of an organizations contacts allows group managers to select the rule when sending a notification.

NOTE: This rule must contain the same filters used in the dynamic group.

To create a rule that selects all contacts, follow these steps:

  1. Log in to the Manager Portal and select the desired organization from the upper left-hand corner.
  2. Click on the Contacts tab from the top of the page.
  3. Click on the Rules sub-tab.
  4. Click Add.
  5. Enter "All Contacts" as the Name of the rule.
  6. In the Custom Filters pane next to Add Filter Search, select the field "Created On" in the dropdown menu.
  7. Select the Condition "is equal to or after" in the dropdown menu.
  8. Click on the calendar icon to select a date for when your organization was created or earlier.
  9. Click Save.
