EBS: Incidents Are Sent to Contacts That Are Not on the Calendar in Incident Communications

Problem:

Incidents are sent to contacts that are not on the calendar.

Root Cause:

Groups may not be linked to the calendar.

Solution:

To verify that calendars are linked to groups, follow the steps below:

Link a Calendar to a Group

Linked Calendar
  1. Login to the Manager Portal.
  2. Click Groups.
  3. Click on the pencil icon next to the desired group on the left side of the page.
  4. Check that the desired group has a Linked Calendar.
NOTE:

If the calendar is not staffed when an incident is launched and a group is linked to the calendar, the entire group will be notified at once. For more information on staffing a calendar see: Scheduling User Guide.

Link Groups to a Shift

Staffing Options
  1. Login to the Manager Portal.
  2. Click Contacts.
  3. Click Scheduling.
  4. Click on the desired calendar on the left side of the page.
  5. Click on the desired shift from the calendar.
  6. Click Edit Shift Schedule.
  7. Under Staffing Options make sure the selected shift(s) has a group(s) linked.
  8. Select the checkbox next to Enable Shift Sequencing.
  9. Click Save.

Sending to Linked Calendars for Selected Groups

Incident Templates
  1. Login to the Manager Portal.
  2. Click Incidents.
  3. Click Templates.
  4. Click on the pencil icon next to the desired incident template.
  5. Click Contacts on the left side of the page.
  6. Select the checkbox next to Send to linked calendar for all selected groups.
  7. Select the checkbox next to Sequencing to ensure that each contact is notified one by one based on shift.
  8. Click Save.
